Documentation for ProTrackWarehouse 2018.1.

  1. The Daily Inquiry (often referred to as DI) in ProTrack Warehouse is a valuable tool for performing validation of work performed, educating employees on engineered standards, ensuring delays are credited to the proper function, and to check employees for performance issues.

The latest release of the Daily Inquiry screen helps you to see the current performance of an employee(s) and eliminates having to resubmit data for search criteria. In addition to providing visibility of an employee's workday, this screen provides several additional features for approving, reshuffling, changing, adding or deleting work from the employee's past or present workday.

Provides three levels of information on one page

  1. Associate Search: View ALL associates within selected criteria i.e. date/supervisor
  2. Employee Daily Summary: View employee(s) daily/weekly schedule, schedule hours, other hours (Adj. Standard, Standard, KVI Hold)
  3. Details: View assignment detail level performance for selected employee with visibility into Base Standard, Units, Adjusted Units, Base Per hour

Tips

  • The search button is only available in the “Associate Search” area
  • To minimize/expand windows select the   button

  • All existing links to Daily Inquiry will go to reflect the Daily Inquiry

Accessing the Daily Inquiry

  1. Log into ProTrack Warehouse.
  2. Select Daily Inquiry from the Operations drop down menu.

 The following table provides descriptions of some of the terms you might see used in the Daily Inquiry.

Equation

Total Hours

Total time the employee worked that day, from SOD to EOD.

 

Time on Standard

Total time the employee spent on standard direct activities.

 

Adjusted Std. Time Earned

Total time the employee should spend on standard direct activities with learning curve applied.

 

Std Time

Total time the employee should spend on standard direct activities.

 

Delay Time

Total time the employee spent on delays.

 

Indirect Time

Total time the employee spent on indirect activities.

 

Paid Break

Total time the employee spent on paid break(s).

 

Unpaid Break

Total time the employee spent on an unpaid break.

 

KVI / HLD

Total time in standard direct activities that are currently in KVI or HLD status.

 

Adjusted Performance

The comparison of the adjusted standard direct time (which includes learning curve, if applicable) allowed on a specific task to the actual time used for that same task.

Baseline Performance

The comparison of the Standard Time allowed on a specific task or operation to the Actual Time used for that same task or operation.

Utilization

The comparison of Actual Time on Standard against Indirect time.

Effectiveness

The comparison of Delays encountered against Total Time.

Standard

Total time the employee should spend on standard direct activities.

 
Units / HourRepresents the units divided by the actual duration of the work. 
Adj Units / HourRepresents the units divided by the adjusted standard time for the work. 
Standard Units / Hour
Represents the units divided by the standard time for the work. 

 

The following table represents the various statuses an assignment could be on the Daily Inquiry.

Abbreviation

Expansion and Description

APRWaiting for Approval A delay that is waiting to be approved before it can be applied to the employee's day.

ADD

Addition – An assignment pending reshuffle.

CAL

Calculating – Standard calculation for an assignment is currently processing.

COM

Completed – An assignment that was completed by an employee and has been fully processed.

DISDisapproved – A delay that has been disapproved by management team.

ERR

Error – An assignment that was completed by an employee but could not be slotted into the work schedule.

GRP

Group – Multiple pre-downloaded assignments worked simultaneously. ProTrack Warehouse groups them together as a single work assignment.

HLD

Hold – Assignment is placed on hold.

KVI

Key Volume Indicator – An assignment waiting for KVI values to be entered. Example of KVI is number of pallets or number of cases.

 

 

Searching for Employees

To view an employee's details in the Daily Inquiry screen, the employees can be searched for by providing the following search criteria in the Search Daily Inquiry screen:

  • Schedule Date – Past date or current date
  • Facility
  • Schedule (new release)
  • Supervisor (new release)
  • ID (new release)
  • Last Name
  • First Name

Tips

  • The search defaults to current date and facility

    • Above minimum requirement for search results

To search for an employee:

  1. Select date and desired search criteria
  2. Type date or select from drop-down calendar radio button
  3. Click Search and the records for associates matching the selected criteria are listed in the "Associate Search” results section of the Daily Inquiry.

Tips

  • To list the employees with First Name or Last Name starting with a particular character, type the character and the employees starting with the given character are displayed in the 'Search Results' list.

Selecting Employees

From search results, you can now search for all employees with the search criteria

Select an Associate

  1. Scroll up/down for selected associate from results
  2. Select/Click on any column of desired associate
    1. the selection will turn blue

  1. The “Employee Daily Summary’ HEADER section will list employee name selected
  2. Schedule will be listed and reflect based on criteria selected and show when last updated

  3. The line graph icon will display next to the schedule date

The dates are also hyperlinked and clicking on them will populate the items on the right accordingly.

Tips

  • Use the  and  buttons to go the previous week or the next week. Use the  button to edit the work hours of the employee.

 

Viewing Employee Schedule

  • The 7 day work week schedule is displayed on the left hand
  • The productivity data details for a selected date is displayed in the right hand side
    • The line graph view can be selected from the data details section

  1. Once an employee is selected the schedules section will reflect the calendar week (7 days) from Sunday to Saturday.
    1. The selected date will default to header/criteria date
  2. The selected date will be shaded in the schedules sections
  3. The last productivity update of employee for selected date is displayed in the bottom right of the “Employee” area
  4. To select a different date within the displayed work week
    1. Select over the date i.e. (2016-11-09) WED: in the schedules area
    2. Verify by the schedule date change by date in header

      The green and dark blue bars illustrate the employee's schedules on each day. The green bar represents the schedule the employee was assigned to work. The blue bar represents the actual schedules the employee worked. Only days containing actual work schedules will have a blue bar. In the screenshot below, you can see that the employee was assigned to a 5 day scheduled work week (Monday through Friday)

      Also, contained within the bars are the Schedule start and end times:

Viewing Performance Line Graph

Selecting the  “graph” icon in header bar generates graph to view expected v actual hours. Selecting  again reverts back to data view

  • Orange bar illustrates “Expected” hours
  • Green bar illustrates “Actual” hours

The below graph illustrates the associate is completing assignments in less time "Actual"  than what is "Expected" in hours/time

Tips

  • The line graph will default for all associates if the supervisor stays within the same screen
  • Hover over each data point for assignment time specific to expected or actual hours

Info

  • The line graph provides a view of the selected schedule days' assignment level performance by Expected vs Actual Hours
    • Expected Hours: Hours expected to complete a specific assignment by assignment ID
    • Actual Hours: Actual hours spent on specific assignment by assignment ID

Viewing Work Assignment Tasks

If there are two or more tasks within a work assignment, you can view them by clicking on the link of the work assignment number. 
To view the details of the tasks within an assignment:

  1. Access the Daily Inquiry screen.
  2. Search and display the employee information in Daily Inquiry screen.
  3. The assignment is provided with a hyperlink.

Tips

  • Header options will expand once an assignment is selected. Selected assignment will be highlighted in blue
  1. Refresh: The refresh button will update the assignments with the most current at the top.
  2. Save: After editing an assignment, the save button allows you to save the change.
  3. Re-Calc: The Re-Calc button will re-calculate assignment data after it has been edited.
  4. Settings: The settings button allows you to add or delete different fields that appear in the assignment details chart.

    When you select an assignment, more header options will appear.

  5. Add: This allows you to manually enter a new assignment.

  6. Delete: This button allows you to delete the assignment that is currently selected.
  7. Trip Audit: This button runs a trip audit. See Running a Trip Audit below for details.
  8. Transfer: This button allows you to transfer an assignment to another employee and will prompt you for the employee ID you wish to transfer to.

When you click the Assignment ID link, the Task Details screen appears with the details of the task within the assignment

    Info

    • This table displays the task lines of the selected assignment in the order in which the tasks occurred. The Non Adj Start Time and Non Adj End Time are the true start and end times that were sent from the WMS file.

 

Running a Trip Audit

Trip Audit provides a detailed report of the selected assignment(s) which displays the determinants that were triggered and travel from location to location, if travel is enabled.

To view the Trip Audit Report of an assignment:

  1. Access the Daily Inquiry screen.
  2. Search and display the employee information in Daily Inquiry screen.
  3. Select the assignment(s) you want to generate report by selecting the assignment(s), which is done by clicking on the entire line and not only the Assignment ID link. To select multiple assignments, hold the Shift button as you click on multiple assignments.

  4. Click Trip Audit   on the HEADER in the upper right to view the Report.
  5. Select which report type and click Submit.





    Tips

    • Audit units displayed in the Trip Audit reference the field last mentioned in the Work Time Function located under Determinant.
  6. You can export the report by clicking  at the top left of the screen.
  7. Select the format output for the report from the popup menu.




    Info

    • There are various format output types:
      1. PDF
      2. Excel
      3. Word
      4. Rich Text
      5. Comma Separated Values
  8. The report must be exported before it can be printed.  By clicking , the report will be exported to PDF.

    Caution

    • You must have a printer driver installed locally on the the computer you are trying to print from.

 

 

  • No labels
