The Schedule Group screen allows creating, searching, viewing, and expiring schedule groups. A schedule group consists of a group of configured schedules that can be assigned to multiple employees simultaneously.

To access the Maintain Schedule Group screen:

  1. Log in to ProTrack Warehouse.
  2. Select Schedule Group under the Employee menu. The Maintain Schedule Group screen appears.

    Field

    Description

    Schedule Group Name

    Specify a unique Schedule Name, which is alphanumeric. (Combination of Alphabets and Numbers)

    Description

    Type the Description of the facility not greater than 250 characters.

    Facility ID

    Select the facility this Schedule Group will be associated with.

    Start of Week

    Select the day of the week that starts this Schedule Group. If the work week is Monday to Sunday then select Monday.

    Add Button

    This is used to create a new Schedule Group.

    Description

    Schedule Group

    Displays the details of the Schedule Group.

    Variant

    Displays Schedules assigned by day and graphical representation of the Schedule Group.

    Assign Employee

    Displays the Employees assigned to the selected Schedule Group.

Adding A Schedule Group

To add a new Schedule Group:

  1. Enter a name for the schedule group.
  2. Select a facility from the drop down list.
  3. Select the status of the schedule group, either Active or Inactive.
  4. Click !Calendar.jpg to set a date the schedule group will be active.
  5. Click on 'Group Variants' tab.

  6. Click and a new record will appear under the 'Variant Details' section.

  7. Click and a popup window will appear.

  8. Select the schedule from the list and this will automatically populate in the 'Variant Details' section under Schedule Name.
  9. Select the number that corresponds to the day of the week you want to assign this schedule to from the drop down list.

  10. Repeat this process for each day of the week.

  • The expiration date of the Variant is open ended until the next Variant is created. The new effective date will establish the expiration date and time of the previous Variant.


    1. Click Add Detail to enter a row in Variant Detail for each Schedule that needs to be added.
    2. Select the Schedule Name and select Day 1, Day 2, etc.
    3. Repeat until all days for the Schedule Group are completed.



Maintain Schedule Group - View Variant Details

  1. Click Graphical to see graphical view of the Schedules by day, and view for potential corresponding day's Schedule conflicts.
  2. If any conflicts are depicted then these need to be addressed via the Schedule screen before any transaction data is processed by ProTrack.
  3. Click Save, make corrections in the Schedule screen, and then review results to ensure changes had the required impact.

  1. Field

    Description

    Effective Date and Time

    The date and time this specific variant is the take affect.

    Schedule Name

    This is based on the Schedules previously configured.

    Description

    User defined for which day of the week this specific schedule starts on.

    Add Variant Button

    This is used to add a new variant to the existing Schedule Group.

    Add Detail Button

    Adds a row in the Variant Detail section.




  2. To add Employees to a Schedule Group:


    1. Select the Assign Employee tab of Schedule Group.

    1. Click the icon to add employees to the Schedule Group. A pop-up window will display.
    2. Select the employee(s) and click Submit.

    1. The employee(s) will appear at the bottom of the list of employees with a default Effective Date of tomorrow's date, and a default Expiration Date of 12/31/2099. If needed change these dates one-by-one, or you may bulk-edit the Effective Dates.
    2. Enter the desired Effective Date and click Submit. The Effective Dates for the selected employees are updated.

    1. Click Save.



Search Schedule Group
The shifts can be searched for by providing the following search criteria in the Search Schedule Group screen:

  • Schedule Group Name
  • Effective Date
  • Facility


  1. To search for particular shifts:


    1. Click Search in the Maintain Shifts screen, the Search Shift screen appears.

    1. Type or select any of the search criteria mentioned above, that is Schedule Group Name, Effective Date, or Facility.


  • To list the shifts with shift names starting with a particular character, you can use the Wildcard character, '%' (to represent a group of characters). For example, to search the shifts starting with the character 'M' enter 'M%' in the Shift Name field to list shifts such as 'Morning Shift', 'MidShift' and so on.
  • The Wildcard character '' can be used to represent a single character. For example, to list the shift Morning Shift, enter 'M_rningShift' in the Shift Name field._
    1. Click Search in the Search Schedule Group screen. The records matching the selected criteria are listed in the 'Schedule Group Search Results' section of the Maintain Schedule Group screen.



  • If no search criteria are specified all the activities will be listed in the 'Shift Search Results' section.
